    High school diploma, Bachelor’s Degree preferred, 18 years of age and experience with payroll, staff benefits, and general employee relations. 

    Three to five years’ experience in school environment with human resources certification, preferred. Ability to notarize also preferred.

    Must have a current physical and mantoux, successfully completed a drug and alcohol screening and also undergo a criminal history background check pursuant to N.J.S.A. 18A:6-7.1.

    REPORTS TO:  Executive Director/ Accounting Manager

    JOB GOALS:  To effectively manage employee relations and benefits, payroll, certification compliance, and the employee contracting process.


    I.   Payroll: 

    1. Calculate wages, draw-up contracts for employees (school year and ESY).
    2. Oversee the time and attendance process for employees, including employee timesheets,

    and employee time off balances

    1. Prepare semi-monthly payroll
    2. Prepare all annual state reports regarding new employees, 1:1 classroom assistants, and general employees associated with the school
    3. Manage the implementation of payroll policies and procedures
    4. Process workers’ compensation claims

    II.   Human Resources

    1. Process and maintain official documentation for employees (i.e. certifications, criminal background checks and fingerprinting, etc)
    2. Oversee the full hiring and human resources process, including the administration of staff contracts and complying with all certification requirements for teacher certificates, educational services personnel certificates, and school leaders certificates
    3. Responsible for all new employee hiring requirements to include offer letters, reference checks, background checks, fingerprinting, drug testing, orientation, etc.  
    4. Responsible for benefits and record keeping requirements to include adding, changing, and deleting employee information and ensuring that employees are notified of eligibility accordingly
    5. Responsible for EEO and OSHA reporting
    6. Responsible for 401k administration to include adding and changing employee information, processing loans, notifying newly eligible employees during open enrollment, the distribution process, and year end compliance
    7. Responsible for compiling personnel and benefit-related information and reports for the annual audit as per deadlines specified by outside accounting firm
    8. Maintain and update all job descriptions
    9. Assist in updating and maintaining policies and procedures books 
    10. Understand and adhere to all applicable federal and state leave, and income replacement laws
    11. Responsible for responding and following through with all unemployment and workers’ compensation claims

    III. General Administration 

    1. Assist with reception duties if both Educational Secretary and Instructional Secretary are called away (back-up role) which would include answering doorbell and phones 
    2. Assist with fundraising activities
    3. Support classroom staff during fire drills and emergency situations

    III.   Technology

    1. General knowledge of how to find relevant reports on accounting system (Sage 100)
    2. Use word processing and spreadsheet software programs as applicable
    3. Working knowledge of payroll technology and time and attendance system. 
    4. Keep abreast and obtain training in new computer applications.
